Managing Calendars in Project Libre

Importance of Calendar Management

  • Understanding the significance of aligning project activities with the company's operational reality is crucial for effective project management.
  • Proper calendar setup ensures that non-working days, work hours, and holidays are accurately reflected in the project timeline.

Configuring Non-Working Days and Work Hours

  • Users can configure non-working days by accessing the calendar option within Project Libre. The default calendars include "Standard," "24 Hours," and "Night Shift."
  • Each calendar has specific configurations:
  • Standard: 8 AM to 5 PM with a lunch break from 12 PM to 1 PM.
  • 24 Hours: No breaks, continuous work schedule.
  • Night Shift: Specific night hours defined.

Creating a Custom Calendar

  • To create a personalized calendar, users can either start from scratch or duplicate an existing one; duplicating is recommended for ease. Name it appropriately (e.g., "My Calendar").
  • After creation, users can customize their new calendar by marking non-working days as needed. For example, February 6th can be marked as non-working due to its status as a holiday.

Marking Non-Working Days

  • Users can mark individual days or entire weeks as non-working:
  • Select specific dates (e.g., May 1st) and click on "Non-Laborable."
  • For weekly selections (e.g., April 3rd to April 7th), hold down the control key while selecting multiple days before marking them as non-laborable.

Adjusting Work Hours

  • If changes are needed for working hours (e.g., shifting from an 8 AM to a 9 AM start), select all relevant weekdays using control-click functionality for bulk adjustments. Set new hours accordingly and confirm changes.
  • Lunch breaks may also need adjustment; common practice in Mexico is setting lunch at around 2 PM returning at 3 PM, which should be updated similarly across selected days.

Special Considerations for Weekend Work

  • In certain industries like construction, Saturday work might be necessary; thus, users may need to adjust standard calendars where weekends are typically marked as non-working days. Selecting Saturdays allows customization of half-day schedules if required.

Configuring Work Hours in the Calendar

Setting Default Work Hours

  • The default setting is non-working hours, but it can be changed to working hours. In this example, a half-day schedule is set from 9 AM to 1 PM.
  • After adjusting the work hours, it's noted that Saturdays are now marked as working days; however, the specific time frame still needs adjustment.

Finalizing Calendar Adjustments

  • Following a second attempt to set the calendar, Saturday is successfully registered as a working day with the specified hours of 9 AM to 1 PM.
  • The next step involves associating this new calendar configuration with an ongoing project by navigating back to the file tab and selecting information.
