Operational Module Training: Essential 1
Overview of Purchase Order Process
- The training begins with an introduction to the macroprocesses in distribution operations, focusing on the purchase order entry process. This involves negotiations between the company and supplier representatives regarding prices, conditions, and quantities.
- After negotiation, suppliers issue invoices and fiscal notes upon delivery. These documents are checked against what was received to ensure compliance with agreements.
- If discrepancies arise during physical checks, returns to suppliers are initiated. Pricing adjustments follow to align with strategic revenue and margin goals.
- Financial processes run concurrently, including accounts payable for incoming goods and accounts receivable from sales. Treasury manages financial movements within banks and cash reserves.
- The session emphasizes that these are macroprocesses containing various activities essential for operational efficiency.
Introduction to Routine 220
- The focus shifts to Routine 220, crucial for entering purchase orders. It allows users to create, edit, print orders, import from Excel sheets, analyze product statistics, issue bonus orders, and consult purchase suggestions.
- The interface includes search filters at the top and a grid displaying existing orders based on search criteria. There are buttons for stock analysis (Routine 103), stock shortages (Routine 104), damage management (Routine 1182), importing orders, adding new ones, editing or duplicating existing ones.
Steps in Entering a Purchase Order
- To initiate a new order in Routine 220, users click "include," leading them to a screen where they specify the branch for the order. Multi-branch ordering is possible by selecting appropriate options.
- Users must fill out details such as issuance date automatically generated by the system and type of entry—normal purchases or special entries like consignment or internal use.
- Selecting a supplier requires inputting their code; options exist for viewing only unlocked suppliers or making multi-supplier requests which disable initial selection until later stages.
Supplier Information Management
- Upon selecting a supplier, relevant information auto-fills based on their profile. Additional data can be accessed through an information button showing address details and commercial terms related to stock positions linked to that supplier.
- Users can also access accounts receivable routines (Routine 202), view open funds (Routine 1817), or check existing purchase orders with that supplier via dedicated buttons in this section.
Finalizing Order Details
- Important fields include totalizers for accounts receivable grouped by family categories along with negotiation numbers entered during order creation.
- Users must specify transporters responsible for delivering goods alongside freight types associated with each order while noting unit sale specifications during entry processes.
