17hats Tutorial: Starting a Workflow after a service has been purchased

How to Automate Workflows in 17 Hats

Setting Up a New Quote

  • The tutorial begins with an introduction on how to use 17 Hats to automatically trigger workflows when clients purchase specific services.
  • The presenter demonstrates searching for a contact using various identifiers such as name, company, or email. A new quote is created for a discovery call.
  • An existing spa service quote template is selected, and an optional add-on service (nail trim) is added to the quote.

Triggering Workflows Based on Client Selections

  • The workflow will only be triggered if the client purchases the nail trim add-on; otherwise, no workflow starts.
  • Users can choose when to start the workflow: either after the first payment or once the invoice is fully paid. In this case, "paid in full" is selected.

Sending Quotes and Contracts

  • After saving the quote, it can be sent via an email template that has already been created.
  • Clients receive a seamless experience by getting quotes, contracts, and invoices all in one email. This simplifies booking processes significantly.

Finalizing Transactions

  • Once the contract is signed by the client, 17 Hats automatically generates a custom invoice based on their selections from the quote.

Do you sell customized packages to your clients? Or do you have optional add-on services included in your Quotes? If so, then you need to have Workflows for each service and add-on that you sell! 17hats allows you to stay a step ahead by automatically triggering Workflows when a specific service or product is purchased! You can even choose whether the Workflow is triggered when the first payment is made on an invoice or when the invoice has been paid in full! And if your client doesn’t opt to purchase one of your add-on services, no Workflow will be triggered! Using this feature will ensure that you don’t miss a beat when a service is purchased! You create your Workflow template once, add it to your service or product under Account Settings → Products and Services, and whenever that Product or Service is purchased, 17hats will automatically start your Workflow, adding your task and action list to your project for you! Pro-Tip: It is better to have shorter Workflows than longer Workflows. Rather than having one workflow with 15 steps, create three Workflows with five steps each! One Workflow can automatically trigger another workflow as an action step!
