How to access your notes when presenting in a Microsoft Teams meeting

Sharing PowerPoint Presentations in Microsoft Teams with Private Notes

In this video, Tony from Ready Steady Excel shows two methods for sharing PowerPoint presentations in Microsoft Teams while still having access to private notes. The first method is for those who have their notes in PowerPoint, and the second method is for those who have their notes in another application like Word or a PDF.

Method 1: Notes in PowerPoint

  • To share your presentation with private notes, go to Slideshow and tick "Use Presenter View" before starting your presentation.
  • Add "Use Presenter View" to your Quick Access Toolbar for easy access.
  • Start your presentation and click "Presenter View" if it hasn't come up already.
  • Go back to Microsoft Teams by pressing the Windows key on your keyboard and clicking on the Teams icon.
  • Click "Share" and select the full-screen PowerPoint presentation thumbnail. Attendees will only see this window.

Method 2: Notes in Another Application

  • Before sharing your presentation, go to Slideshow > Setup Slideshow and select the option that stops the presentation from opening in full screen mode.
  • Start your presentation and resize the window as needed.
  • Go back to Microsoft Teams, click "Share," and select the small PowerPoint window thumbnail. Attendees will only see what's inside the red box.
  • To view private notes, simply click on the application where they are stored (e.g., Word). Attendees cannot see these notes.

Overall, Tony provides clear instructions for sharing PowerPoint presentations with private notes using both methods. By following his steps, users can ensure that attendees only see what they need to see during a meeting or presentation.
